Planner insight: Always use a planner when doing a tented event, so many moving parts to navigate.
The knowledge and insight of an experienced wedding planner is a gift that we are fortunate to have gained throughout our years of creating events all over New England. We are happy to share these insights and knowledge.
Being a wedding or event planner is not for the faint of heart or for someone with high blood pressure.
Our encounters as planners have been, well let’s just say there is never a dull moment, and it’s always an adventure. See the lessons we have learned in our twenty years
Wedding Planner Knowledge and Insight #1
You cannot negotiate with Mother Nature
Rain plans are a must on our outdoor tented events or for beach ceremony agendas. If I had $100 for every bride who said “it won’t rain on MY wedding day” I would be retired on my own private country estate in Vermont.Yes, we have done weddings on rainy days and even in weather best described as monsoons. But I will say that two tents teetering on the verge of coming down on the same day required just a bit of Perfect Plan troubleshooting. Phone calls to tent companies to tell them to rush over like yesterday, us trying to move dishes and glassware to safety, and then once the tent is secured having to set up with minimal time and finishing just in time for our bride’s arrival. Hence all done meticulously without our brides knowing the chaos that had occurred.
Key to Success: A good team of Planners all with one goal in mind, driven with a passion for what they do, in addition to an amazing team of tent vendors who make the impossible possible.
Wedding Planner Insight #2 Be prepared for anything, everything, and nothing
Planning for Anything:
Well, that could be ANYTHING, problems or dilemmas thrown at us last minute to solve. For instance, ” did I forget to tell you that you need to assemble all my flowers for the tables” Well okay…guess its good that my team has some floral experience. Yes, sure we can make boutonnieres out of corsages, or vice versa, and move florals from the church. And yes, my team can certainly let your puppy out before we head over to the reception or dress him in a tux for the ceremony.
Did the best man forget his shirt, okay no problem, we can try to find him an exact match as all the groomsmen. My team is the best at shopping and know all the great local places for the goods.
Resourcing Everything:
Yes, I can find you a venue, a rental house for the family, a caterer, a band, DJ, photographer, espresso cart, ice cream truck, florist, and a babysitter. We have resources for a gondola boat for your grand exit from the reception, candy jars, restroom trailers, theme props, a contractor to build a ceremony platform, or anything else for that matter. Do you need a landscaper, mosquito sprayer, a honeymoon treehouse, an officiant on a week’s notice or one that speaks French, a planner who speaks Spanish, and so on! Get where I am going with this?!
I have and can relocate your event for 200 in summer on Cape Cod with five weeks’ notice, operate a generator, and flip a tent three times in one day. We have coordinated transportation logistics with two different companies. We can move 200 guests from 8 hotels and one designated pickup parking lot. And have everyone make it to the ceremony on time. No sweat!
We have coordinated a groom’s arrival by boat from the marsh (complete with groomsmen in clam boots), sew a bridesmaid COMPLETELY into her dress, and coordinated a canon to be shot off simultaneously with your first kiss at the ceremony. My team can cut your wedding cake or set up a yoga workout for your bridesmaids! We have troubleshoot two collapsing tents at two different locations on the same day. Neither bride was the wiser. Like I said not for the faint of heart!
Creating from Nothing
Yes, I mean Nothing:
This is where we execute events without proper information from clients. We rely on information and communication to properly service our clients. Often we are managing without knowing pertinent information. Lastly, without contracts from your vendors, we cannot adequately do our jobs. Without a doubt, we need your seating chart prior to the morning of the event More information is better than little or none. Are you changing your venue, vendor, or time of the event? TELL us! If you have family issues we need to be aware of, tell us. Problems with a vendor? Tell us!
